EVENT FLOW - Here’s a one sheet document of what the day of the event should look like

Day of Event To Do’s

Below is a quick list of things to keep in mind and a to do list the day of the event.

Checking in Attendees

Have a person sitting at check-in table at the front door, greeting the attendees and checking them in. This is where you determine if they have paid or not.  Below are the options of how they have correctly registered and paid for the event.  Ask for their name, and check the list of RSVP’d attendees. Below are the actions:

Start of Event Activities

You or an assistant can greet people as they arrive. If possible, have one or two people serve as “greeters” who roam around the room and talk with attendees to make the environment even more comfortable. Also, make sure food is placed in a easy to access area and offer Beer, Wine, soft drinks, and water.

MUSIC IS IMPORTANT, Play music during the event. Music allows people to be more comfortable and is a nice touch. In Seattle we put on light House/techno music which gives an upbeat feel and relieves the room of any anxiousness or awkwardness of quiet, especially early on when most of the attendees have yet to arrive.
